Pixply App Privacy Policy

This Privacy Policy explains how PIXPLY LTD collects, uses, stores, shares, and protects personal data when you use the Pixply mobile application, Pixply account, connected Pixply products, website, and related services.

This policy does not apply to the separate PixMaker application, which has its own Privacy Policy.

1. Who We Are

In this policy, “Pixply,” “we,” “us,” and “our” refer to PIXPLY LTD.

2. When This Policy Applies

This policy applies when you:

  • Create or use a Pixply account
  • Sign in using email and password, Google, or Apple
  • Activate, connect, or manage a Pixply board
  • Use PixStudio
  • Create, upload, save, or like content
  • Receive notifications
  • Contact customer support
  • Purchase products through the Pixply website
  • Otherwise interact with Pixply services

Some basic areas of the app may be viewed without creating an account. An account is required to activate and use connected Pixply products and certain account-based features.

3. Personal Data We Collect

Account and Profile Data

When you create an account, we may collect:

  • Full name
  • Username
  • Email address
  • Password authentication information
  • Account identifier
  • Account creation and update dates
  • Verification and account status

Passwords are protected through our authentication system and are not available to customer-support staff.

Sign-In and Security Data

When you sign in or verify your account, we may process:

  • Email verification codes
  • Authentication and session tokens
  • Sign-in provider
  • Google or Apple account identifier
  • Verified email address received from Google or Apple
  • Login, logout, verification, and password-reset activity
  • Security and account-access information

Verification codes are temporary and normally expire after approximately ten minutes.

Device and App Data

We may collect:

  • Device model
  • Operating-system type and version
  • App version
  • Installation identifier
  • Push-notification token
  • Device and connection status
  • IP address or network information
  • Technical errors and security events

We use this information to operate and secure the app, connect devices, provide notifications, prevent abuse, and resolve technical problems.

Pixply Board and Activation Data

When you activate or connect a Pixply board, we may process:

  • Board identifier
  • Activation code or protected activation reference
  • Serial number
  • Hardware or security hashes
  • Board membership information
  • Account-to-board links
  • Product activation and entitlement information
  • Relevant connection and security records

Board activation is connected to the physical product and may continue to exist independently of a particular user account.

PixStudio Content

When you use PixStudio, we may store:

  • Game and design titles
  • Pixel and grid data
  • Uploaded images
  • Instructional videos or video links
  • Creation and modification information
  • Account ownership information
  • Likes and saved content

PixStudio content is currently private and connected to your account. Pixply does not currently provide a public user-content catalogue or social publishing system.

Uploaded files may be limited by the technical file-size restrictions shown in the app.

Notifications

When notifications are enabled, we may process:

  • Push-notification tokens
  • Device and app information required for delivery
  • Notification content and delivery status
  • Your Pixply notification inbox

You can disable push notifications through your device settings.

Purchases, Website, and Support

When you purchase a product, use the website, or contact support, we may process:

  • Name and contact details
  • Billing and shipping address
  • Order and product information
  • Payment and transaction status
  • Delivery information
  • Support messages and attachments
  • Return, refund, and warranty information

Payment-card details are processed by authorized payment providers. Pixply does not store complete payment-card details.

4. Information We Do Not Currently Collect

The current Pixply system does not intentionally maintain:

  • Played-game history
  • Search history
  • Recently viewed content
  • Behavioural advertising profiles
  • Cross-app tracking
  • General behavioural analytics
  • AI prompts or AI-generated results

These practices may change if new features are introduced. We will update this policy and provide any notice or consent required before materially changing how personal data is used.

5. Future AI and Product Development

Pixply does not currently provide an integrated AI feature or send user content to an external AI provider.

We may use aggregated, anonymised, or appropriately de-identified technical and content information to understand product use and develop future features, including intelligent or AI-assisted functionality.

We will not use identifiable private PixStudio content to train a public or third-party AI model without providing appropriate notice and obtaining consent where required by law.

If an AI feature is introduced, we will explain what information it processes, which providers are involved, and what controls are available before or when the feature becomes active.

6. How We Use Personal Data

We use personal data to:

  • Create and manage Pixply accounts
  • Verify email addresses and authenticate users
  • Maintain secure login sessions
  • Activate and connect Pixply boards
  • Manage product access, memberships, and entitlements
  • Store and synchronize PixStudio content
  • Maintain likes and saved content
  • Deliver notifications
  • Process purchases, deliveries, returns, and warranties
  • Provide customer support
  • Prevent fraud, misuse, and unauthorized access
  • Diagnose errors and maintain service reliability
  • Develop and improve Pixply products and services
  • Meet legal, tax, accounting, regulatory, and security obligations
  • Establish, exercise, or defend legal claims
  • Send marketing communications where permitted

7. Legal Bases for Processing

Depending on the activity, we rely on:

Performance of a Contract

We process information where necessary to:

  • Create and operate your account
  • Activate and connect your Pixply board
  • Provide PixStudio and other requested services
  • Process purchases and deliveries
  • Provide support, returns, and warranty services

Legitimate Interests

We may process information where reasonably necessary to:

  • Protect accounts and systems
  • Prevent activation abuse and fraud
  • Maintain product entitlements
  • Troubleshoot and improve service reliability
  • Develop our products
  • Manage business operations
  • Protect our legal rights

We consider the effect on users before relying on legitimate interests.

Consent

We rely on consent where required, including for:

  • Optional marketing
  • Non-essential cookies
  • Push notifications and device permissions
  • Future optional features that require consent

You may withdraw consent at any time.

Legal Obligations

We may process or retain information to comply with legal, accounting, tax, consumer-protection, regulatory, or law-enforcement obligations.

UK privacy notices should identify processing purposes, lawful bases, recipients, retention, international transfers, and user rights.

8. Sharing Personal Data

We may share relevant personal data with service providers that help us operate Pixply, including:

  • PocketBase and infrastructure-hosting providers
  • Google Sign-In
  • Sign in with Apple
  • Firebase Cloud Messaging
  • Google Workspace or Gmail SMTP
  • YouTube, when instructional videos are played
  • Shopify and payment providers
  • Shipping and fulfilment providers
  • Professional advisers, auditors, insurers, and legal representatives

Each provider receives only the information reasonably required for its role and processes information under its own terms or applicable contractual obligations.

We may also disclose information:

  • Where required by law or a valid legal request
  • To investigate fraud, misuse, or security incidents
  • To protect Pixply, users, or third parties
  • During a merger, acquisition, restructuring, financing, or sale of business assets

Pixply does not sell personal data.

9. International Data Transfers

Pixply operates internationally, and some service providers may process information outside the United Kingdom or the country where you live.

Where legally required, we use an available transfer mechanism, such as:

  • UK adequacy regulations
  • Approved contractual safeguards
  • The UK International Data Transfer Agreement
  • The UK Addendum to approved standard contractual clauses
  • Another legally permitted transfer mechanism

UK rules require restricted international transfers to use an applicable legal mechanism and, where safeguards are used, an appropriate transfer-risk assessment.

10. Data Retention

We retain personal data only for as long as reasonably necessary.

Our general retention periods are:

  • Active account data: Until the account is deleted
  • Inactive accounts: Reviewed after 36 months of inactivity, normally following 30 days’ prior notice
  • Access tokens: Approximately 15 minutes
  • Refresh sessions: Approximately 30 days
  • General server and system logs: Up to 30 days
  • Security events: Up to 90 days
  • System backups: Up to 30 days
  • Support records and emails: Up to 24 months after the case is closed
  • Activation anti-abuse records: Up to 24 months after the relevant event
  • Board activation and entitlement records: For the supported life of the physical product
  • Technical account-deletion records: Up to 90 days

Information may be retained longer where reasonably required by law, security needs, dispute resolution, fraud prevention, or legal claims.

11. Account Deletion

You may permanently delete your Pixply account through the app:

Settings > Account > Actions > Delete Account

You may also request deletion by contacting support@pixply.io from the email address associated with your account.

Account deletion removes account-linked data from active systems, including, where applicable:

  • Profile and account information
  • Authentication sessions
  • Notification records and push tokens
  • Likes and saved content
  • PixStudio content and uploaded media
  • Device links
  • Board memberships
  • Account-to-board links

Deleting an account does not delete or deactivate the physical board. Board hardware, activation, entitlement, security, and anti-abuse records may remain.

Deleted information may remain in protected backups for up to 30 days. A limited hashed technical deletion record may remain for up to 90 days for cleanup and audit purposes.

Deleting the app from your device does not automatically delete your server-side account.

12. Your Privacy Rights

Depending on your location and applicable law, you may have the right to:

  • Access your personal data
  • Correct inaccurate information
  • Request deletion
  • Restrict certain processing
  • Object to certain processing
  • Receive portable data where applicable
  • Withdraw consent
  • Object to direct marketing
  • Complain to a data-protection authority

These rights may be subject to legal conditions and exceptions.

To exercise your rights, contact support@pixply.io. We may request reasonable information to verify your identity.

In the United Kingdom, you may complain to the Information Commissioner’s Office. UK data-protection law recognises rights including access, correction, erasure, restriction, objection, portability, and withdrawal of consent where applicable.

13. Users Outside the United Kingdom

Users in the European Economic Area, Switzerland, the United States, Canada, Australia, Japan, and other countries may have additional rights under their local privacy laws.

We will respond to valid privacy requests in accordance with the law applicable to the request. Nothing in this policy is intended to remove mandatory privacy rights available in your country.

14. Children’s Privacy

A user must be at least 16 years old to independently create and manage a Pixply account.

Users under 16 may use Pixply only with the authorization and supervision of a parent or legal guardian and where permitted by local law.

Children under 13 must not independently create an account or provide personal data through Pixply.

If you believe that a child has provided personal data without appropriate authorization, contact support@pixply.io.

Under UK rules, children aged 13 or over may generally provide their own consent for an online service where consent is the applicable lawful basis; parental authorization is required below that age.

15. Data Security

We use reasonable technical and organizational safeguards designed to protect personal data, including:

  • HTTPS encryption in transit
  • Authentication and session controls
  • Secure device storage
  • Restricted administrative access
  • Protected and hashed identifiers
  • Logging and security controls
  • Backup and recovery measures

No electronic system is completely secure. You are responsible for protecting your password, email account, device, and product activation information.

16. Cookies and Website Technologies

The Pixply website may use:

  • Essential cookies
  • Shopping-cart and account cookies
  • Payment and fraud-prevention technologies
  • Preference cookies
  • Analytics or marketing cookies where enabled and permitted

Where required, we request consent before using non-essential cookies. You can manage cookies through the available website controls or your browser settings.

17. Third-Party Services and Links

Pixply may contain links to third-party websites, app stores, YouTube videos, or other external services.

Independent third parties process information under their own privacy policies. Pixply is not responsible for the independent privacy practices of third-party services that it does not control.

18. Changes to This Policy

We may update this Privacy Policy when our products, services, technologies, providers, or legal obligations change.

The updated version will show a new effective date. Where a change materially affects users, we may provide notice through the app, website, or email.
